Job Description

The Receptionist is responsible for greeting all customers, whether they are walking into the dealership or calling into the dealership, ensuring all customers are attended to.

The Receptionist has a variety of administrative tasks to perform on a routine basis. Ensuring all necessary paperwork is scanned and properly filed, creating new files for incoming vehicles to the dealership, arranging drives and rentals, invoice book audits, signing out dealer plates, processing payments, managing gas slips and various tracking sheets and other administrative duties as required.

The Receptionist is also the keeper of the Key Room, making sure all keys for the vehicles in the dealership are in their proper location, are correctly tagged and all spare keys are kept locked until needed. 

Qualifications

  • High School and 1 year of customer service experience.
  • Strong typing skills & knowledge ofMicrosoft Excel are considered an asset.

  • To Go list is 100% accurate
  • All receptionist duties are completed daily, including but not limited to, files being made in real time and all tracking sheets are kept updated. Receptionist areas, key room, coffee station, and showroom are kept clean and tidy
  • All incoming phone calls are answered by the third ring
  • All messages are entered through Slack containing the customer’s first and last name, along with their phone number
  • Lead by example and always maintain a positive working relationship with co-workers
  • All other assigned administrative tasks are up to date


Responsibilities

  • Responsible for being the dealership’s first impression whether it is answering phones orgreeting customers in person.
  • Assist with arranging drivers, sales and rentals from Enterprise/CarStar.
  • Perform administrative tasks such as scanning deals, parts invoices, processing customer payments, creating vehicle folders, creating delivery folders, filing, tracking gas cards, receipts and tracking dealer plates.
